When a business engages Fivecrown as a service provider, we collect information including: business name, contact information (name, email, phone), billing details, login credentials, and information about the business's customers and operations that is necessary to provide our Services.

From our clients' customers

On behalf of our clients, we receive personal information about their customers, including:

  • Name
  • Phone number
  • Email address
  • Service or appointment details (date, type, location)
  • Feedback, reviews, and ratings submitted in response to our messages

Information collected automatically

When you visit our website or interact with our Services, we may automatically collect:

  • IP address, browser type, operating system, and device identifiers
  • Pages viewed, time spent, and links clicked
  • Referring website
  • Cookies and similar tracking technologies

Business clients

Reviews, ratings, and feedback collected on behalf of a Fivecrown client are shared with that client.

Third-party platforms

To deliver our Services, we interact with platforms including Google Business Profile, Yelp, Facebook, and other review and listing services. Information you provide may be transmitted to these platforms in the form of public reviews.

Legal requirements

We may disclose information when required by law, subpoena, court order, or other legal process, or when we believe disclosure is necessary to protect our rights, comply with a legal obligation, or protect the safety of any person.

Business transfers

If Fivecrown is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction.

With your consent

We may share information for other purposes if you give us your consent.

SMS opt-in data — special protection

SMS consent and opt-in data are never shared with third parties for marketing purposes. Phone numbers collected for SMS communications are used only to deliver review-request and transactional messages on behalf of the client business that obtained the consent. We do not sell, rent, or share SMS opt-in data with any third party, including affiliates, for any purpose other than to deliver the SMS messages the user consented to receive. Required service providers (such as Twilio and GoHighLevel) process SMS data only as needed to deliver the messages and are bound by contractual confidentiality obligations.

5. Data Retention

We retain personal information only as long as needed for the purposes described in this Policy, to comply with legal obligations, resolve disputes, and enforce agreements. Typical retention periods are:

  • Client account data: duration of relationship plus 7 years
  • Customer review and feedback data: 3 years from collection
  • Email subscribers: until unsubscribe plus 90 days

6. Data Security

We use industry-standard measures to protect personal information, including encryption in transit, secure data centers, and access controls. No system is 100% secure, and we cannot guarantee absolute security.

7. Your Rights and Choices

Depending on your state of residence, you may have the following rights:

  • Deletion. Request that we delete your information.
  • Opt-out of sale. We do not sell personal information.

12. SMS Communications and Opt-In

If you receive SMS messages from Fivecrown or a Fivecrown client business, the following terms apply specifically to SMS data and consent:

How you opt in

You provide your phone number directly to a Fivecrown client at the point of service, appointment booking, or intake. The opt-in disclosure provided at the point of collection includes notice that message and data rates may apply, opt-out instructions (reply STOP), and a link to this Privacy Policy.

How you opt out

Reply STOP to any SMS message at any time. You will receive a confirmation message and no further texts from that program. You may also email [email protected] to opt out.

What messages you receive

Transactional review-request messages following a completed service or appointment. We do not send marketing, promotional, or sales SMS.

Message frequency

Typically one (1) message per completed service or appointment, with no more than two (2) messages per service interaction.

Costs

Standard message and data rates from your wireless carrier may apply.
